Caedmon Birthday Party FAQ

Mission Statement

Q. Why are we offering birthday parties at Caedmon?

A. The goal is to hold a basic birthday party that focuses on kids having fun. We want to greatly reduce pressure especially financial, of having a birthday party. By doing this as a community, we are able to achieve more success together by leveraging the space at the school, engaging the Caedmon staff, and negotiating better deals on pizza, cake and paper goods.

Birthday parties include 1 ½ hour party with pizza, cake, paper goods and juice boxes.

Activities

Q. What activities are available during the party?

A. The gym is available for soccer, hockey, climbing wall, dodge ball, relay races, freeze dance, parachute and an obstacle course along with age appropriate fun games that Mr. Kagan can customize for your family. The lunchroom has room for art projects supplied by the hosting parents. The courtyard can be utilized as well. Mr. Kagan the gym teacher will work with each family to develop a schedule that works best for them.

Q. Will an art project be provided by Caedmon?

A. No, there are no art supplies being provided by Caedmon. Families may bring in materials to use during the party. Mr. Kagan can offer suggestions for different activities.

Q. Can we bring in outside entertainment?

A. Yes, but you need approval from Mr. Kagan.

Staffing

Q. Who is organizing the birthday parties?

A. Steven Slater is a parent volunteer working with, Mr. Kagan. Mr. Kagan arranges the schedule of activities and staffing.

Q. What staff will be working running the parties?

A. Caedmon teachers/specialists along with after school specialists.

Q. Can I request a Caedmon staff member?

A. We will try to work with you, but can not guarantee.

Q. Can we have parties while Caedmon is closed for the holidays?

A. Yes, as long as we can find staff to work the party.

Q. Can parents bring in a clown, dance instructor, sports person from outside Caedmon to help run the activity portion of the party?

A. Yes, as long as its has been approved by Caedmon.

Financial

Q. How much profit does Caedmon make on a birthday party?

A. Not much. Costs include hiring staff, purchasing cake, pizza, paper goods and juice boxes. We are projecting a minimal profit from each party.

Q. How will the profits be utilized?

A. The profit is used to replenish party goods for future parties and buy additional party equipment.

Q. What if I only want to invite 10 children, what would be the cost?

A. We cannot modify the price.

Q. Can we have many more than one birthday child celebrate their birthday and split the cost of the party?

A. Yes, as along as there are only 25 children. In fact you can have as many birthday children as you want to defray the cost.

Q. How much should I tip the staff?

A. No tips are expected, but would be greatly appreciated for your Caedmon staff.

Food

Q. Where does the pizza come from?

A. La Mia Pizzeria or Italian Village

Q. Where does the cake come from?

A. Agata & Valentina - 10 inch Chocolate or Vanilla Cake which feeds 15 adults

Q. What if I want a bigger cake?

A. It would cost $10-$20 extra for the 12 inch cake which feeds 25 adults.

Q. Can I bring in outside food to the party?

A. Yes, the only food that is provided is pizza and cake.

Q. What if I don’t want to have pizza, can we bring in something else?

A. Yes, but there will be no price reduction.

Q. Is bottled water provided at the party?

A. No, we will have pitchers of filtered water for children and adults.

Other

Q. Can kids who don’t attend Caedmon come to the birthday parties?

A. Yes as long as the party is limited to 25 children.

Q. Why is the party limited to 25 children?

A. Because of space at the school.

Q. Can I extend the party for more than 90 minutes?

A. No, for insurance reasons all parties must be a maximum of 90 minutes.

Q. How much time will I have to set-up/breakdown for the party?

A. You will have 20 minutes before/after the party.

Q. How do I reserve a time?

A. Please e-mail: caedmonparty@me.com with the following information:

Date, time, child’s name, class and how old they will be. Mr. Kagan (kagan@caedmonschool.org) will contact you with activity information. You will receive a contract once the details have been confirmed. All checks should be made out to The Caedmon School and given to Simon Prosser - Head of Finance who sits next to the CFA corner.
